This Privacy Policy describes how Kixlogic, LLC ("Kixlogic," "we," "us," or "our") collects, uses, and shares information about you when you use our applicant tracking system and related services (the "Service").
Kixlogic serves two types of people: Customers (businesses that subscribe to use Kixlogic) and Applicants (individuals who submit employment applications through a Kixlogic-powered careers page). This policy addresses both.
This policy also covers visitors to kixlogic.com, including people who use the FlipbookIQ Library or contact us through our website. See "From Website Visitors and the FlipbookIQ Library" below.
1. Information We Collect
From Customers
When you create and manage a Kixlogic account, we collect account information, billing details (processed by Stripe — we do not store full card numbers), company settings, usage data, and support communications.
From Applicants
When an individual submits a job application through a Kixlogic-powered careers page, we collect on behalf of the hiring company: name, contact information, employment history, resume documents, work eligibility, and voluntarily submitted EEO data.
From Website Visitors and the FlipbookIQ Library
The FlipbookIQ Library (at kixlogic.com/flipbookiq/library/) shows flipbooks that Kixlogic has published. When you use it, we ask for your name, your email address and, only if you choose to give it, your company name. We also record the library page you were on, the time, and a one-way hash of your IP address, which we use only to limit how often one source can submit the form. If you contact us through a form on our website, we collect what you type into it.
You do not have to give us these details. Choose "No thanks, take me to the flipbooks" and the library works the same way; in that case we collect nothing from you beyond the automatically collected information below.

2. How We Use Information
Customer information is used to provide and improve the Service, process payments, send transactional emails, provide support, and comply with legal obligations.
Applicant information is stored and displayed to the hiring company's authorized recruiters, used to power AI features on eligible plans, and used to send application confirmation emails.
Details you give us through the FlipbookIQ Library or a contact form are emailed to the Kixlogic team and stored so that we can reply and follow up with you about FlipbookIQ and other Kixlogic products. Any marketing message we send includes a way to opt out, and you can ask us at any time to stop contacting you.
EEO data is collected separately, compartmentalized, and accessible only to Admin-level users for compliance reporting. It is never included in exports or AI scoring.
3. How We Share Information
We do not sell your personal information. We share information only as described below:

4. Data Retention
- Customer account data: Duration of subscription plus 90 days after termination
- Applicant data: While the hiring company's account is active plus 90 days after termination
- Billing records: 7 years per tax and accounting requirements
- Support communications: 2 years
- FlipbookIQ Library and website contact details: Up to 3 years after your last interaction with us, or until you ask us to delete them, whichever comes first

5. Data Security

6. Your Rights
Customers can view and update account information in dashboard settings, manage billing through Stripe, and request deletion by contacting support.
Visitors who gave us details through the FlipbookIQ Library or a contact form can ask us to tell them what we hold, correct it, delete it, or stop contacting them, by emailing [email protected] or [email protected]. Some states and countries give additional rights, and we will respond to those requests as the law requires.
Applicants should contact the hiring company directly for access, correction, or deletion requests. We will assist in directing requests to the appropriate party.
7. Cookies and Tracking
We use minimal browser storage for authenticated sessions and interface preferences. We do not use cross-site tracking, behavioral profiling, or third-party advertising trackers on kixlogic.com.
The FlipbookIQ Library remembers, on your browser only, that you have answered or skipped its sign-up prompt. It does this with one small first-party item named kx_library_access, kept as a cookie and in browser storage. It lasts up to one year if you gave us your details and 30 days if you chose to skip, and it is used for nothing else.
8. Children's Privacy
The Service is not directed at individuals under 18. We do not knowingly collect information from minors.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or website notice at least 30 days before taking effect.
